Estimated Salary Range: $25,000 – $30,000 a year
$500 Sign-on Bonus

FULL JOB DESCRIPTION
We are a full-service residential & commercial HVAC, Plumbing & electrical contracting company. This person will be the lead dispatch coordinator and will work directly with our technicians and customers. This role is responsible for creating work schedules, updating clients of their appointments, entering all workflows in service titan for the drivers and management to see what the schedule looks like daily. This demanding, fast-paced environment requires a good memory and prioritizing several tasks that may require further follow-through. Good communication and phone skills are essential, and the ability to go from job to study without losing track of anything. This role requires routine communication with clients, technicians and interaction with other staff members in person and by phone and email. Work hours are 8:00 am to 4:30 pm, Monday through Friday, to be available to the service technicians and clients. Job duties will include but are not limited to:

Duties include, but are not limited to:

  • Schedule and monitor daily technician schedule
  • Dispatch work orders to field technicians according to priority and location
  • Receive and record completed work orders from the field technicians
  • Contact customers to confirm next-day appointments
  • Coordinate parts scheduling with the Purchasing Department
  • Coordinate warranty installations with other divisions.
  • Answer general questions regarding rebates, system operations, warranties, etc. from customer
  • Communicate with field personnel via Outlook
  • Update after-hours service personnel of on-call and/or changes.
  • Respond to e-mail inquiries
  • Maintain accurate technician database

Qualifications

  • High School Diploma or GED preferred
  • Minimum 2 years of dispatching experience, preferably in HVAC, Plumbing, or related industry
  • Basic computer proficiency, particularly with Microsoft applications
  • Experience with Service Titan is a plus.
  • Must have liable transportation to get to work.
  • Superior teamwork and problem-solving skills
  • Ability to establish and maintain harmonious working relationships with co-workers
  • The position is a non-exempt, full-time position – i.e., 40 hours per week—Monday through Friday.

Billing Clerk

This role is responsible for creating invoices, updating inventory records, entering PM agreements. This role involves accounting functions, communication, administration, and organization. This demanding, fast-paced environment requires a good memory and prioritizing several tasks that may require further follow-through. Good communication and phone skills are essential, and the ability to go from job to study without losing track of anything. This role requires routine communication with clients, technicians and interaction with other staff members in person and by phone and email. Work hours are 7:30 am to 4:30 pm, Monday through Friday, to be available to the service technicians and clients but are flexible once training is complete. Job duties will include but are not limited to:

Duties include, but are not limited to:

  • Creates invoices to submit to customers
  • Responsible for managing 3rd. Party websites requests, executing billing and billing software.
  • Ensures accuracy of the billing process following the client contracts.
  • Process inventory transfers based on technician service reports
  • Identify, analyze, and communicate any client billing issues to the management team
  • Support in proactively identifying process issues and implementing billing process changes as necessary
  • Assist in account receivable calls
  • Enter PM agreements into our QuickBooks system

Qualifications

  • High School Diploma or GED
  • Strong accounting and finance knowledge is required
  • Ability to learn and understand technical terminology.
  • Must be able to work in a fast-paced, goal-oriented environment.
  • Able to handle multiple tasks, stay organized, and focus on details.
  • HVAC & Plumbing knowledge/experience is a plus
  • Attention to detail and commitment to accuracy
  • Proficient in Excel
  • Computer skills and proficiency in MS Office software
  • Superior teamwork and problem-solving skills
  • Must have liable transportation to get to work.
  • Excellent written and verbal communication skills, including practical listening skills.
  • Ability to establish and maintain harmonious working relationships with co-workers
